Get Setup on eReferral

Please note that a provincial public procurement is currently underway through a Request for Proposal (RFP) for Vendor(s) of Record to provide eReferral Management Solution(s). As a result, onboarding of any new eReferral users is not supported through provincial funding and funded resources until the procurement process is complete. For more information, please refer to the related communication and the subsequent FAQ. Ocean eReferral is available to health service providers in Ontario free of charge, as part of the Ministry of Health funded Ontario eServices Program. Learn the benefits of getting  set up on Ocean eReferral, as a primary care provider or a specialist receiver.

Our team is here to support both referral senders and receivers. Getting set up on Ocean eReferral as an eReferral Sending Clinic or an eReferral Receiving Clinic typically requires two 1 hour sessions: 

Provided below is the standard process to get setup on Ocean eReferral.

Sending Clinics

I. Engagement & Configuration Session: 60 minutes

  1. Understanding the clinic's current referring workflow and configure their Ocean site to mirror or enhance this workflow

  2. Set up email notifications and invite site users

  3. Integrate the clinical EMR (Telus PS Suite, OSCAR and Accuro) with the clinic's Ocean site and test the eReferral connection.

  4. Identify the most common eReferral destinations for the clinical users and populate an easily accessible list of these destinations on the front page.

  5. Answer questions regarding the provincial legal agreements.

II. Training Session: 60 minutes

  1. Ensure all referring participants are set up and configured on the Ocean site and the clinical EMR.

  2. Walk through the process of finding an appropriate referral destinationreferring (via Ocean Healthmap) to the specialist, and tracking the eReferral.

  3. Sign agreements and go live with the ocean site to start sending eReferrals.

I. Engagement & Configuration Session: 60 minutes

  1. Understanding the clinic's current intake process and configure their Ocean site to mirror or enhance this workflow

  2. Set up email notifications and invite site users

  3. Integrate the clinical EMR (Telus PS Suite, OSCAR and Accuro) with the clinic's Ocean site and test the eReferral connection.

  4. Develop the clinic's eReferral listing and discuss the layout of the eReferral form accessed by referrer

  5. Discuss form review and approval process (form development can take up to 10 days)

  6. Answer questions regarding the provincial legal agreements.

II. Training Session: 60 minutes

  1. Validate the form, review the eReferral listing, and ensure all referring participants are set up and configured on the Ocean site.

  2. Walk through the process of triaging a test eReferral i.e. receiving the eReferral, accepting/declining the eReferral, messaging the referrer, and booking an appointment for the patient.

  3. Show how the eReferral will be downloaded into patient encounter notes/charts in the clinical EMR (Telus PS Suite, OSCAR and Accuro)

  4. Sign agreements and make the common senders aware of the new listing on Ocean.

  5. Go live with the finalized form and ocean site to start receiving eReferrals.
